Split Internal and External Recipient Traffic

Traffic sent to Outbound Mail Protection (OMP) is processed based on the email characteristics of the envelope of the mail. By default, if INKY receives a message that has multiple envelopes, it will wait to receive all parts and process them all the same. In practice, this means that senders would be required to approve messages they send to both internal and external recipients, if parts of the mail are within a OMP rule condition.

If you need to have message actions performed against internal and external recipients independently, please follow the below steps for M365 or Google Workspace (coming soon…).

INKY Outbound Mail Protection Rule Configuration

Once the configuration is completed for either M365 or Google Workspace you’ll be able to dictate which message should get the appropriate control.

For example, if a specific message that contains Social Security Numbers should only apply to external recipients, and not internal recipients, you’ll setup the following rule.

  • Conditions

    • Workflow Header

      • Matches: outside

    • Data Type

      • Matches: National IDs

  • Actions

    • Sender Confirm - 3 Days

This rule ensures that only external recipients are subject to the sender being required to approve the email.

  • If the sender only includes internal recipients on the email, they will not need to approve the message.

  • If they included both internal recipients and external recipients on the email, they would still need to approve delivery to the external recipients, but the internal recipients would receive it without issue.

 

Microsoft 365

  1. Navigate to https://admin.exchange.microsoft.com/#/transportrules

  2. Select the radial next to IPW Mail for Outbound Processing rule then select “Duplicate.”

  3. Edit the following options.

    1. Name: IPW Mail for OMP - External Recipients

    2. Select the “+” next to the Apply this rule if section.

      1. The recipient is located ‘NotInOrganization

    3. Select the “+” next to the Do the following section.

      1. Set the message header ‘X-Inky-Workflow’ to the value ‘outside’.

    4. Select Make a Copy then Duplicate.

  4. The rule is created in the disabled state.

  5. Select the radial next to the newly created ‘IPW mail for OMP - External Recipients’ and select ‘Move up’ to ensure it’s at priority 0, the highest priority then select the rule and Enable it.

     

  6. Select the original ‘IPW Mail for Outbound Processing’ rule and select ‘Edit Rule Conditions’ and make the following edits.

    1. Name: IPW Mail for OMP - Internal Recipients

    2. Select the “+” next to the Apply this rule if section.

      1. The recipient is located ‘InOrganization

    3. Select the “+” next to the Do the following section.

      1. Set the message header ‘X-Inky-Workflow’ to the value ‘inside’.

    4. Select Save

       

  7. Once saved and fully propagated you’ll be able to control which group of recipients should get apply additional controls from within the INKY console following the example from above. The final top two rules to INKY should look like the following.
